Rules – the Virtual Sybir Memorial Run

ORGANIZER

The organizer of the sports event The Virtual Sybir Memorial Run, hereinafter referred to as the „Run,” is the Białystok Biega Foundation, registered in the National Court Register under the number KRS 0000392164, based in Białystok. The co-organizer of the event is The Sybir Memorial Museum.

GOAL

To commemorate the victims and preserve the memory of the deportations from February 1940.
To promote running and power walking as the simplest forms of physical activity.
To encourage physical activity and a healthy lifestyle.

DATE AND LOCATION

The participant can complete the run between February 8 and February 28, 2025, anywhere in the world.

The participant must cover a minimum distance of 5 km. There is no upper limit.

With a single registration fee, a participant can take part in the run multiple times between February 8 and February 28, 2025, covering a minimum distance of 5 km each time.

The participant can complete their distance in any location at any time of day.

We recommend running in a forested area, although this is not a mandatory requirement.

Participants are required to comply with traffic regulations.

TIME LIMIT

There is no time limit for participants. The pace at which the planned distance is covered does not matter. The distance can be completed by running, walking, or power walking.

PARTICIPATION AND REGISTRATION

The condition for participation in the run is the correct completion of the registration form and payment of the entry fee. The submission of the correctly completed form is done electronically. Payment of the entry fee and completion of the registration form is considered as acceptance of these Rules.

Registrations are possible until February 28, 2025, inclusive. In the case of registration on the last day (February 28), the participant is required to cover a minimum of 5 km on the same day.

After registration, the participant can download their race number in PDF format from the start list or their registration account. The number can be printed and attached to the shirt during the run, but this is not a mandatory requirement.

RULES

The event consists of running or walking the entire distance on your own. The use of bicycles or other motor vehicles is prohibited during the event. Emphasis is placed on fair play.

Each participant in the run must cover a minimum distance of 5 km. There is no upper limit. The required distance must be completed between February 8 and February 28, 2025.

During the event, participants can take part in the run multiple times, and each activity can be registered separately, which will contribute to the total distance covered.

Participants can record their run using any device that tracks time and distance, though a sports watch is strongly recommended.

After Completing the Run

After finishing the run, the participant registers their result by logging into their account on the B4SPORTONLINE.PL platform using their login and password. Then, the participant should find the event „The Virtual Sybir Memorial Run” and click „Add Activity”. Results can be added using one of three options:

  • Uploading a GPX/TCX file,
  • Uploading a photo/screenshot from the app, and manually entering the results,
  • Synchronizing the activity with a STRAVA account.

Medals and Packages will be sent:

  • Before the event – exclusively to those registered by January 26, 2025, inclusive.
  • Within 5 weeks after the event – to those registered after January 26, 2025.

The organizer is not responsible for packages that are delivered but not collected by the participant. The participant is responsible for the cost of reshipping.

FEES

Each participant of the run is responsible for the entry fee:
69 PLN – includes a headband, a commemorative medal, and a race number.

Payments should be made during registration via secure online payment methods (credit card, Blik, or bank transfer) or directly to the account of the Białystok Biega Foundation:
15 1140 2017 0000 4702 1304 3240.

For direct bank transfers, it is necessary to include the participant’s full name and the note „The Virtual Sybir Memorial Run” in the transfer title.

The entry fee is non-refundable.

For international shipping, an additional fee of 20 PLN applies.

CLASSIFICATIONS

Due to the nature of the run, there will be no classification of the fastest participants.

The organizer will maintain a results list, which will include the distance covered by each participant.

FINAL PROVISIONS

Due to the specific conditions and rules of the run, we appeal to all participants to adhere to the principles of fair play. We emphasize the importance of completing the designated distance by running or walking on your own. It is prohibited to cover the distance using rollerblades, bicycles, scooters, or any means of transportation other than walking or running.

The exception is for individuals with disabilities using wheelchairs, who must notify the organizer of this fact.

The organizer reserves the right to send participants information regarding the run and other events organized or co-organized by the organizer, as well as for internal administrative and analytical purposes.

The organizer reserves the right to conduct interviews with each participant, take photos and/or videos, use names, images, voices, and other materials related to participation in the run for advertising, promotional purposes, as well as for use on the internet or in radio and television broadcasts, and for any other commercial purposes, with the right to modify them.

The organizer reserves the right to use, free of charge, any photos submitted by participants, video materials, interviews, and recordings, which may be placed on selected electronic media, catalogues, and in the following media: television, radio, newspapers, magazines, and websites for advertising and promotional purposes. The participant declares that the organizer is not and will not be obliged to pay any fees related to the activities described in points 3 and 4 of this paragraph, thereby granting an unlimited license to use statements and information without prior notification for the purpose of advertising and promoting the run.

The organizer reserves the right to make changes to the Rules. Any changes to the Rules will be communicated on the event’s website.

In matters not covered by the Rules, the organizer will make the final decision.
If any provision of the Rules is found to be partially or completely invalid or unenforceable, all other provisions (in whole or in part) will remain valid.

Who is the administrator of your personal data?

The administrator of your personal data is the Białystok Biega Foundation, located at Ludwika Waryńskiego 7/9, 15-461 Białystok (KRS: 0000392164). You can contact the data administrator at fundacja@bialystokbiega.pl.

For what purpose and on what basis are your personal data processed?

  • Providing services electronically:
  • Execution of the contract – your participation in the run
    • Your participation in the race (preparation of the start packet, processing results, awarding prizes, etc.)
    • Publishing publicly available start lists and results
    • Providing payment services
  • Sending organizational information (email / SMS) about races organized by the Białystok Biega Foundation
  • Handling registrations and correspondence directed to us
  • Contacting you
  • Enabling contact with the charity organization you support (in case of supporting a charitable cause)
  • Fulfilling legal obligations of the Białystok Biega Foundation: 
    • For tax and accounting purposes
  • For purposes resulting from the legitimate interests of the Białystok Biega Foundation: 
    • Direct marketing of products and services
    • Handling registrations and correspondence directed to us
    • Contacting you
    • Preventing fraud and abuse
  • Based on the consent you have given:
  • Sending marketing information (email / SMS)

Do you have to provide personal data?

Providing personal data is necessary for your participation in the race.

Failure to provide personal data will prevent you from registering and taking part in the race.

How long will your personal data be processed?

Your data will be processed during your use of the registration page on datasport.pl (tu chyba juz nie datasport?) and your participation in the races organized by Fundacja Białystok Biega that you register for via the website.

After this period, your data will still be stored for purposes arising from legal requirements (especially tax and accounting obligations), as well as for preventing fraud and abuse and for pursuing any claims arising from the agreement.

Some of your data (especially those found in race results) may be processed even after this period for statistical and archival purposes.

Who will be the recipients of your personal data?

Your personal data will be disclosed to employees, collaborators, and subcontractors of the Administrator to the extent necessary to fulfil the previously mentioned purposes of data processing.

The start lists and results, containing basic personal data, will be publicly available, including being published on the event’s website.

What rights do you have regarding the processing of your personal data?

You have the right to request: access to your personal data, correction of your data, deletion of your data, and restriction of their processing. Additionally, you have the right to object to the processing of your data and to request their transfer.

Furthermore, with regard to processing based on your consent, you have the right to withdraw that consent at any time.
